Privacy Policy

On 25th May 2018, the General Data Protection Regulation (GDPR) replaced the Data Protection Act as the UK’s data protection legislation. Following such changes, G4 Physiotherapy & Fitness Ltd reviewed and updated their policies and procedures to ensure that they complied with all legal compliance regulations. Keeping client’s personal information safe and secure is one of the most important priorities that the clinic adheres to.

Upon making an enquiry to the clinic and when booking an initial appointment, client details are saved on our private practice management software that we use for the running of our clinic. E-mail addresses are collected on registration and entered into the private database to enable the clinic to notify clients of appointment booking confirmations and subsequent reminder e-mails to assist with busy work schedules and lifestyles.

Clients are asked upon their first visit to the clinic whether they would like to receive appointment related e-mails and mailshots. Only such will be sent out if consent has been given. The clinic also likes to keep clients informed of our services that we provide, special offers, clinic promotions, gym class information and general wellbeing topics. Clients may therefore occasionally receive mailshot e-mails notifying of such areas of the business. If clients decide that they would rather not receive these e-mails at a later date, we kindly ask them to contact the clinic or follow the unsubscribe link at the bottom of a clinic e-mail and such details will then be removed from the clinic’s mailshot e-mail database. Please be aware that clients unsubscribing from our mailshot e-mail database, will also automatically unsubscribe those clients from appointment booking e-mails.

All health care providers are required to keep client records for seven years. Our previous paper based client records are stored in a safe and secure storage area. Since 2015, our private management software has allowed the clinic to use computerized notes for all client records and therefore paper notes have since not been used. Such electronic and digital information is held securely within the private practice management system that we use.

The clinic does not share personal data or client records with any other individual, company or third party without your consent. Treatment updates and progress reports will be relayed to injury management and private medical insurance companies where required to assist with personal injury claims or clinical treatment referrals. If required and consent given, GPs or any other medical specialists may be consulted to assist with the management of clinic therapy cases.
